Terms of service

Last updated 25 October 2026

In short

  • FPAify is for businesses and finance professionals, not consumers.
  • Your data stays yours. We use it only to provide FPAify to you.
  • FPAify, including its AI, can make mistakes. Check figures before you rely on them, and remember it isn’t professional financial, tax or legal advice.
  • FPAify Pro is £100 a month, renews monthly and can be cancelled at any time. Extra credits are a one-off £25.

1. About these terms

These terms apply to FPAify at fpaify.io, including the website, the public demo and the app (together, the “service”). FPAify is operated by [legal entity name], [registered address] (“we”, “us”).

By creating an account or using the service you agree to these terms on behalf of yourself and the business you represent (“you”). Please confirm you have authority to do so. The service is for business use only and is not offered to consumers. Our Privacy notice explains how we handle personal data.

2. Your account

  • You must be 18 or over and give accurate details, including a working email address.
  • Keep your password safe and don’t share your account. You are responsible for what happens under it. Tell us straight away if you think someone else has access.
  • Each account belongs to an organisation, which owns the companies created in it and is responsible for its members’ use of the service.

3. The service

FPAify reads finance exports, maps them to a standard template, and helps with reporting, analysis, budgeting and forecasting. It includes a built-in rule engine and, on paid plans, AI features powered by Claude.

The public demo uses fictional companies and is provided for evaluation only, as is. Anything you upload to the demo is kept in your browser.

4. Your data

  • You own your data. That means the files you upload, and the companies, mappings, plans, notes and other content you create (“your data”).
  • You give us permission to host, copy, process and display your data only as needed to provide, secure and support the service for you. That includes sending relevant parts to our AI provider when you use an AI feature. We don’t use your data to train AI models, and we don’t sell it.
  • You are responsible for having the right to upload your data. Where it contains personal data, you are the controller and we process it as your processor, as described in the Privacy notice. If you need a signed data processing agreement, ask us.
  • You can export your data to Excel or CSV at any time. You can delete companies, or your whole account, from the app.
  • We take reasonable care to keep your data safe. You should still keep your own copies of your source files: FPAify is not your accounting system or your system of record.

5. AI and outputs

FPAify produces mappings, reconciliations, commentary, budgets, forecasts, answers and other outputs, some generated by AI. Outputs may be incomplete or wrong, even when they look confident. FPAify shows its working, runs balance and reconciliation checks, and asks you to accept AI changes before they apply, but:

  • you are responsible for reviewing outputs and deciding how to use them;
  • FPAify does not provide accounting, audit, tax, legal or investment advice, and outputs are not a substitute for a qualified professional’s judgement;
  • statutory accounts, tax returns, lending covenants, investor reporting and other formal uses need your own checks.

As between you and us, you own the outputs created from your data, and you may use them freely.

6. Acceptable use

You must not:

  • break the law, or upload data you have no right to share;
  • upload malware, or try to probe, overload or get round the service’s security, rate limits or AI allowances;
  • access other organisations’ data, or scrape, copy or resell the service;
  • reverse engineer the service, except where the law allows;
  • use the service, or its outputs, to build a competing product;
  • use the AI features to create harmful, deceptive or unlawful content.

Fair-use limits apply to AI features, currently 60 Claude calls an hour per user. We may change them to keep the service reliable for everyone.

7. Plans and payment

  • Free use. Signing up, uploads, the built-in rule engine, exports and board packs don’t need a card.
  • FPAify Pro costs £100 a month for your organisation. Each billing month it includes 1,000 Claude calls and 100 AI reports. Unused allowance doesn’t carry over. Pro renews automatically each month until you cancel.
  • Extra credits cost £25 one-off, for 500 more AI calls and 50 more reports added to your organisation. They stay until used, including if you cancel Pro.
  • When an allowance runs out, AI features pause until the next billing month or until you buy extra credits. The built-in rule engine keeps working.
  • Payments are taken by Stripe. Prices are in pounds sterling [and include / exclude VAT].
  • Cancelling: cancel from Account → Billing at any time. Pro stays active until the end of the billing month you have paid for, and is not renewed after that. Except where the law requires otherwise, payments already made are not refundable.
  • We may change prices or allowances with at least 30 days’ notice. Changes apply from your next billing month, and you can cancel before they take effect.

8. Our intellectual property

We, or our licensors, own the service: the software, the standard template, the designs, the FPAify name and logo, and the documentation. We give you a non-exclusive, non-transferable right to use the service under these terms while your account is active. If you send us feedback, we may use it without any obligation to you.

9. Availability and changes

We work to keep FPAify available and reliable, but we don’t promise it will be uninterrupted or error-free. It relies on third-party providers (listed in the Privacy notice), and planned maintenance or events outside our control may affect it. We may improve, change or retire features. If a change materially reduces what you pay for, we will tell you in advance, and you may cancel.

10. Liability

  • Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot be limited by law.
  • Apart from that, the service is provided on an “as available” basis. To the extent the law allows, we exclude all implied terms, warranties and conditions, such as fitness for a particular purpose.
  • We are not liable for loss of profit, revenue, business, goodwill or anticipated savings. We are not liable for indirect or consequential loss, or for decisions made on the basis of outputs (see section 5).
  • Our total liability to you in any 12-month period, however it arises, is limited to the greater of the fees you paid us in that period and £100.
  • You are responsible for claims arising from data you upload without the right to do so, or from your breach of section 6.

11. Suspension and ending

  • You can stop using FPAify, and delete your account, at any time.
  • We may suspend or close an account that breaks these terms, puts the service or other users at risk, or doesn’t pay. Where it’s reasonable, we will warn you first and give you a chance to put it right.
  • We may stop offering the service with at least 30 days’ notice. In that case we will give you time to export your data and refund any prepaid fees for the period after it closes.
  • When an account is closed, we delete its data as described in the Privacy notice. Sections 4, 5, 8, 10 and 12 continue to apply.

12. General

  • Changes to these terms: we may update these terms. For significant changes we will give account holders at least 30 days’ notice by email or in the app. If you keep using the service after that, you accept the new terms.
  • Transfer: we may transfer our rights under these terms to a business that takes over FPAify. You may not transfer yours without our consent.
  • Events outside our control: neither of us is responsible for delays caused by events beyond our reasonable control.
  • Whole agreement: these terms and the Privacy notice are the whole agreement between us about the service. If a part is found to be unenforceable, the rest still applies. If we don’t enforce a right straight away, we can still enforce it later.
  • Law: these terms are governed by the law of [Scotland / England and Wales], and its courts have exclusive jurisdiction.
  • Contact: [legal entity name], [registered address], [contact email].
