The AI-first FP&A tool for CFOs, FP&A analysts and management accountants

AI-first FP&A that reads
your data in any format.

FPAify /ˌef.piːˈeɪ.ɪ.faɪ/ verb — to turn raw finance data into planning and analysis, with AI doing the heavy lifting.

Any system, any layout: Sage, Xero, QuickBooks, NetSuite, an Excel model or a spreadsheet someone built years ago. FPAify’s AI works out what each file is, maps and reconciles every line, builds your budget and forecast, takes instructions by voice and drafts the board pack. No templates, no connectors. And for a first-time owner, when planning feels chaotic, it keeps everything in order.

The demo runs on two fictional companies — a SaaS scale-up and a 70-store retailer — so you can click through every view straight away.

AI import · any format

Any format, any layout. FPAify does the tidying.

You don’t need a particular system or a template. Sage and Xero layouts are recognised instantly, but FPAify isn’t limited to them: the AI reads whatever you have. Title rows, months across or down, costs in brackets, figures in thousands, year-to-date balances, subtotals everywhere, ledgers grouped by account. It handles all of it and shows its working.

  • Understands the layout — finds the header, the months, the units and the sign convention, and turns year-to-date trial balances into monthly movements.
  • Maps every line, with a reason — each account gets a target, a confidence score and an explanation you can override. Uncertain lines go to Claude for a second opinion.
  • Reconciles before it loads — mapped lines must add back to the file’s own totals, and the balance sheet must balance, or you’re told exactly where it doesn’t.
  • Down to every posting — give it a general-ledger listing and every statement line drills into its GL accounts, their postings and the balanced journal behind each one.
Import review: a budget pack in £'000 detected and scaled, costs flipped, each line mapped with confidence, method and reason, and reconciliation to the file's totals
AI budget and forecast: method chosen, revenue and EBITDA plan against last year, Claude’s summary of the assumptions, and a line-by-line table with the reason for each change

AI-aided budgeting & forecasting

A defensible budget in minutes, not weeks.

Pick a horizon: next year’s budget, a reforecast to the year end, or a rolling 12 or 18 months. Pick the method finance teams actually use, or simply describe what you want. FPAify projects every line from your history, and Claude adjusts it to your instructions and explains each change.

  • Six researched methods — driver-based, prior year + growth, trend & seasonality, Holt-Winters, zero-based costs and top-down targets, each with when to use it and what to watch.
  • Your instructions, in plain English — “5% price rise from April”, “four engineers in Q2”, “we lose our biggest customer in July”.
  • Line by line, with the reason — every change against last year, and the risks to watch.
  • Month by month, down to account level — the budget and latest forecast as a full income statement, side by side by month, against current results or prior year.
  • Still balances — saving the plan flows the profit change through cash and reserves, so the balance sheet and cash flow stay intact.

Built around your structure

Entities, business units, departments, branches — however you’re organised.

No two charts of accounts are alike. FPAify reads the structure that’s already in your data: department or cost-centre columns, entity and branch codes, tracking categories, your own account groups, intercompany accounts and subledgers. The AI fills in whatever the file doesn’t say.

  • Statements your way — by nature (revenue, cost of sales, compensation, operating expenses, allocations, depreciation), by function, or in your own GL structure, with or without account numbers.
  • Side by side by department or BU — departmental P&Ls that add back to the company, down to every account and posting.
  • Allocations — share central costs by headcount, revenue, compensation, fixed percentages or your own driver, for actuals, budget and forecast.
  • Headcount and ratios — heads by department, people costs and per-head figures, plus a library of standard ratios you tick for your kind of business.
  • Group your uploads your way — load a ledger or trial balance per entity, business unit, branch or department and FPAify adds them up; re-load one and only that part changes.
  • Remembers what you need — mappings you corrected, ledger layouts, where each monthly file goes and your own instructions are kept per company, so next month’s upload is right first time.
  • Intercompany and subledgers — intercompany checked to net to nil; aged debtors and creditors reconciled to their control accounts.
Monthly actuals by department: revenue, cost of sales, compensation, operating expenses and allocations for Sales & Marketing, Professional Services, Engineering, Customer Success and Central, adding back to the company total, with ratios below

Dictate

Say it. Check it. Accept it.

Press the microphone and talk to your numbers. FPAify turns what you say into proposed changes, shows you the before and after, and applies only the ones you accept, with one-click undo.

  • Fix mappings by voice — “Map sundries to other overheads”, “skip the total overheads line”.
  • Answer what the AI couldn’t decide — “Employer’s NI is admin people costs.”
  • Adjust the budget or forecast — “Increase marketing by 10% from April”, “add a £50k one-off to legal fees in March”.
  • Ask anything — “Why is EBITDA behind budget?” gets an answer from the figures.

Nothing changes until you accept. Works in Chrome, Edge and Safari; you can always type instead.

Dictate panel: the instruction “increase the marketing budget by 10% from April and add a £50k one-off to professional fees in March” turned into two proposed changes with before and after amounts, each with a checkbox, and an Accept button

One template, every view

The reports a CFO owns, built in.

Because every source lands in the same standard template, every company gets the same board-ready views — switchable by month, quarter, year to date, last twelve months or full year, against budget, last year or forecast.

Executive overview

KPI tiles and a board you arrange yourself — drag, resize, add and remove widgets.

P&L and budget vs actual

Drill-down statements, an EBITDA bridge, variances ranked by profit impact and a month-by-line heatmap.

Statements to the transaction

Monthly actuals side by side against budget, forecast or last year; click any account’s month to see its postings and journals.

Cash & liquidity

Cash bridge, indirect cash flow that ties to the bank, a 13-week forecast, runway or facility headroom.

Working capital

Debtor, stock and creditor days, and a calculator that puts a £ value on each day saved.

SaaS metrics

ARR bridge, net and gross retention, magic number, CAC payback, burn multiple and Rule of 40.

Trading KPIs

Like-for-likes, channel mix, conversion, stock position and markdown for multi-site retail.

Excel, CSV & PDF

One-click Excel workbook with every statement, CSVs for Power BI, and a board pack laid out for PDF.

Budget vs actual for a retailer: variance tiles, EBITDA bridge from budget to actual, and full-year EBITDA landing chart
Scenario view: driver sliders for sales productivity, churn, hiring and hosting, with the FY2027 outcome table and ARR, EBITDA and cash charts

Scenarios

Move a driver. Watch all three statements move.

Scenarios run on a driver-based model, not a percentage flex. Change sales productivity, churn, like-for-like growth or freight costs and the P&L, balance sheet and cash flow re-run together in milliseconds — with a liquidity warning when cash or facility headroom gets tight.

  • Board-standard presets: downside, upside, hiring freeze, freight shock
  • Save your own cases and compare them against budget and the base forecast

Commentary & questions

The first draft of the board pack, written for you.

FPAify drafts the commentary from the figures on screen — the headline, the variance drivers, cash and liquidity, operating KPIs and suggested actions. Ask a question in plain English and get an answer quoting the numbers.

Claude only ever sees the figures on screen, never your raw files. Without AI switched on, a built-in rule engine writes the same structure.

Why is EBITDA behind budget?
EBITDA is £3.9m worse than budget, driven mainly by store sales (−£2.7m) and wholesale (−£1.4m); partly offset by lower cost of goods sold (+£831k). Gross margin is 54.9%, 1.3 points below budget — freight and markdown are the usual suspects.
How much revolver headroom do we have?
£2.3m undrawn of the £35m facility, with stock at 146 days of cover — tight going into peak. Agree an intake cut for spring and a clearance plan for surplus outdoor stock.

FAQ

Questions

What does “AI-first” mean here?

AI does the work a finance analyst would otherwise do by hand: reading unfamiliar files, mapping accounts, drafting the budget and forecast, writing the commentary and acting on what you say. Every step shows its working and you approve the changes, with built-in checks that the numbers still balance.

Why “FPAify”?

FP&A with AI inside: FP(AI)fy. The A is shared because the AI sits inside planning and analysis rather than bolted on. To FPAify your numbers is to turn whatever exports you have into a budget, a forecast and a board pack.

Can the AI build my budget and forecast?

Yes. Choose a horizon and a method, add any instructions, and FPAify builds every income statement line from your history; Claude adjusts it to your instructions and explains each change. You review it line by line and save it as your budget or forecast.

How does Dictate work?

Your browser turns speech into text; FPAify (with Claude, when connected) turns the text into proposed changes: remapping accounts, answering what the import couldn’t decide, or adjusting the budget and forecast. You see each change with its before and after, accept the ones you want, and can undo them.

Is the demo data real?

No. Northwind Cloud and Harbour & Hearth are fictional, generated by a driver-based model so the balance sheet balances and the cash flow ties every month. The story in the numbers — a churn spike, a wet summer, a tight revolver — is there so the views have something to explain.

Can I try my own files?

Yes — open the demo’s Data hub and upload a CSV, Excel or JSON export. In the demo, files are read in your browser and kept there; nothing is uploaded to us.

Can it read a raw general ledger?

Yes. Flat journal-line exports and grouped “GL detail” reports both work: it finds the date, account, amount and reference columns, takes accounts from header rows where needed, uses opening balances, checks that every journal balances, and keeps every posting for drill-down. Try the Kestrel Coffee Roasters ledgers in the demo’s Data hub.

We have several companies, departments and branches. Will it cope?

Yes. FPAify picks up entities, business units, departments, branches, projects and tracking categories from columns in your exports or from how your accounts are set up, and keeps your own account groups. Every statement can be viewed for the whole group or any part of it, side by side, with allocations between them and intercompany checked to eliminate.

Does it only work with Sage and Xero?

No. FPAify reads data from any system and in any layout: anything that exports to CSV (any delimiter), Excel (.xlsx), JSON or plain text. It knows Sage and Xero layouts and nominal-code ranges out of the box, and the AI works out everything else: QuickBooks, NetSuite, Dynamics, bespoke ledgers, budget packs with subtotals and brackets, trial balances with debit/credit columns, Excel models and CRM or EPOS extracts.

What does the AI see?

Only what’s needed for the task: the account names and a few sample values when it reviews a mapping, or the summary figures on screen when it writes commentary or answers a question. It is never sent your raw files.

What does FPAify Pro include?

FPAify Pro is £100 a month. It turns on Claude: Ask, Dictate, import review, commentary and AI budgets and forecasts, with 1,000 Claude calls and 100 AI reports each billing month. Extra credits are £25 for 500 AI calls and 50 AI reports. Accounts, uploads, Excel, CSV, board packs and the built-in rule engine stay free.

Do I need a data warehouse or an integration project?

No. FPAify starts from the exports you already produce for month end.

Can I get my numbers out again?

Yes. Export an Excel workbook with every statement, CSVs of each, or a board pack as a PDF.
